As they arrive for cocktail hour, guests should be greeted by the host and your committee chairman. Keep the drinks simple to control costs: spring water, sparkling water, juice, red and white wines. Naturally, the wines and glassware should be of good quality. Find a local pianist or harpist willing to donate an hour of their time for background music.
Consider holding a silent auction during the cocktail hour for added income. The items for bidding must be unique, expensive, creatively presented, and all donated to your cause. Don’t forget free lessons: tennis, golf, cooking or even an art class.
After all the RSVP’s are received, encourage guest mingling by using place cards on tables. Dinner should be served promptly at a pre-set time. A properly trained wait staff should quickly, unobtrusively, and adequately serve the number of people attending.
The time to showcase your school or organization is over a sumptuous dessert. Your designated speaker can take 15 minutes to present the best face of your school or organization and explain where the funds raised will be used.
When all the dishes are cleared, complete the evening with some high caliber entertainment. If there is a celebrity or successful entertainer from your community, they may be willing to donate their time to support your event. If not, consider a local theater or popular musical group and see if you can barter a deal with them.
Don’t forget to have a discreet way for people to write an additional check if desired.
